Getting Started

Step 1: Log in

Upon registration you will receive a unique Username & Password via email. Use these to log in at beenavigator.co.za.

Step 2: Add a Client

When logging in, you will arrive on the  <SUMMARY> page.  To add a Client as a Measured Entity on the system, click the <Add ME> button (below the search field) and complete the registration form with your Client’s details.
NOTE that Adding a Client will also create a unique Username and Password for your client to access and capture their own information.  Select whether you want Navigator to send your client an email with their login details.  This can also be forwarded at any later stage.

Step 3: Select a Client to Work with

Go to <SUMMARY> in the main menu.  Enter the name (or part of) in the search field and select the Client you want to work with from the results list.

Step 4: Capture Client Data

Now you (or your client) can start capturing data.
Start by entering General and Financial data under <BUSINESS INFO> and then continue with BEE Element data under <CAPTURE DATA>. Make sure to click SUBMIT after adding new data.  As you submit data, the results in the relevant element as well as the overall score of the ME will be updated.

Step 5: Review Scorecard

Go to <SCORECARD> in the main menu to review the ME’s full Scorecard at any point during capturing.  The results will be based on the Scorecard  or Charter selected on the General page under <BUSINESS INFO>.  If the QSE Scorecard is applicable, you will have the freedom to select the best 4 elements of the ME’s full Scorecard.

Step 6: Lock Data & Activate Sampling

When data capturing is complete and the ME is ready for the BEE Audit to begin, go to <WORKING PAPERS> in each Element and tick “Lock Data & Activate Sampling”.  A Sampling column will appear on the Element Data Capture page and data will be locked for editing.  When Sampling data rows, a list of required proof documents will be generated for the Client on the <DOCUMENT STORE> page.

Step 7: Audit Procedures

BEE Navigator incorporates full Electronic Working Papers and Audit Procedures in compliance with IRBA standard SASAE 3502.  Auditors can find the applicable Procedures in <WORKING PAPERS> in the main menu.

Non-IRBA Service Providers can request a quotation for Verification from any IRBA-approved BEE Auditor listed on the  <QUOTATION> page.  The Auditor will use Navigator Working Papers to perform an Audit on the Client’s data without having to duplicate any preparation work.  Should your preferred Auditor not be listed, please contact us at support@beenavigator.co.za.  We will approach the Auditor with a view to becoming a Navigator user.

Step 8: Manage Client Contact and Status

Use the <CONTACT> page to keep a record of all interaction with the Client.  Here you can also keep the status of the Client’s verification process up to date.  A status note is created whenever a new status is selected from the drop-down list. Reports can be drawn per status in the <ADMIN> section.

START WITH BUSINESS INFORMATION

Always complete the Financial information on the <BUSINESS INFO> page first.  This page contains information required in most of the Element calculations.

CAPTURING ELEMENT DATA

When you go to <CAPTURE DATA>, you will automatically be taken to the first Element, OWNERSHIP, but you can browse and capture data in any of the Elements in any order.

SUBMIT BUTTON

Information is committed to the database only when the SUBMIT button for each section has been clicked. The BEE Score for each Element is updated and displayed at the bottom of each Element page as soon as you SUBMIT information.

IMPORTING AND EXPORTING FROM EXCEL

Large lists of data, for example Supplier lists, can be imported into the relevant Element.  The Import/Export button can be found at the bottom of the Capture Data Tables in each Element where it is available.
To get a template of the import file format, Export a blank sheet first, using the Import/Export button.

APPLY AN INDUSTRY CHARTER OR OTHER BEE SCORECARD

Any available Scorecard or Industry Charter can be applied to the Captured ME data to produce a new Scorecard under the relevant rules.  Select the appropriate Scorecard at bottom of the <BUSINESS INFO / GENERAL> page.  Charters are continually being added and updated.

MANAGE YOUR CLIENTS

Keep a detailed record of all inter-action with your client on the <CONTACT> page.  Here you can:

  • Make notes of all inter-action
  • Create Tasks and reminders for your Clients and Staff
  • Send tasks and notes via email
  • Update the status of the Verification process
  • Track payments received
  • Track user log in history

QUOTATIONS FOR BEE SERVICE PROVIDERS

When an Intermediary BEE Service Provider requires a Verification for their Client, they are able to request a quotation from any IRBA-approved BEE Auditor listed on Navigator, from the system.  The system will send the Auditor an email request for quotation.  Should you accept a quotation, the Intermediary will give you access to the client’s information on Navigator, in order to perform the Audit.  An Intermediary can also choose to give an Auditor permanent access to all his Clients for verification purposes.

Adding system users

BEE Navigator is designed to accommodate multiple system users simultaneously.  In the <ADMIN> section, a user with administrative rights can create multiple users with strictly controlled access rights.

Element Score not Displaying

BEE Navigator calculates and adjusts the BEE Score as you capture data, but information needs to be SUBMITTED (using the Submit button) for the Score to be adjusted.
Should a BEE Score not be displaying in any particular Element, it could be as a result of one of the following:

  • Information is captured but has not been SUBMITTED;
  • Insufficient Financial data has been provided in the <BUSINESS INFO> section;
  • Not all the required data in a specific table row has been captured;
  • In the Enterprise Development and Residual Element the Inception Date has not yet been accepted by the user.
